How to Set Up a Business Email That Isn’t Gmail

If your business email ends in @gmail.com, @yahoo.com, or @hotmail.com, you’re sending a subtle but real signal to potential clients: this isn’t a serious operation. A professional email address — one that ends in your domain name — costs almost nothing and makes a meaningful difference in how your business is perceived.

What You Need

  • A domain name (e.g., yourbusiness.com)
  • An email hosting service

If you already have web hosting, you may already have email hosting included. Most cPanel-based hosting plans include email accounts at no additional cost.

Option 1: Email Through Your Web Host

If your hosting plan includes cPanel, you can create professional email accounts directly from your control panel. Go to cPanel → Email Accounts, create an address like hello@yourdomain.com, and configure it in your preferred email client (Outlook, Apple Mail, Gmail’s “Send As” feature, etc.).

This is the simplest and cheapest approach. The tradeoff: storage and reliability vary by host, and it’s not as polished as dedicated email platforms.

Option 2: Google Workspace

This is the most popular choice for small businesses that want reliability, storage, and the Google ecosystem.

Option 3: Microsoft 365

Microsoft 365 Business Basic starts at around $6/month per user and includes Outlook, Teams, SharePoint, and OneDrive alongside your branded email. A strong choice if your team already works in the Microsoft ecosystem.

Best Practices

  • Use a consistent format: firstname@domain.com or firstnamelastname@domain.com
  • Create role-based addresses for common contact points: hello@, support@, billing@
  • Set up email signatures with your name, title, and website
  • Enable two-factor authentication on any business email account
